We are representing an award-winning architectural practice specializing in residential, commercial, industrial, institutional, and mixed-use developments, with a strong focus on innovative, sustainable, and human-centric design solutions across Singapore and the region in their search for a Project Admin.
Key responsibilities
- Provide administrative and coordination support to Project Directors, Project Architects, and project teams throughout the full project lifecycle, ensuring smooth execution of project activities and deliverables.
- Prepare, maintain, and manage project documentation including contracts, fee proposals, tender documents, authority submissions, reports, meeting minutes, correspondence, and project records while ensuring proper document control and version management.
- Coordinate and liaise with clients, consultants, contractors, suppliers, and internal stakeholders to facilitate communication, track action items, monitor submission status, and ensure timely completion of project milestones and approvals.
- Monitor project schedules, key deliverables, submission deadlines, and regulatory requirements, assisting the project team in ensuring compliance with statutory and authority requirements where applicable.
- Support project financial administration including preparation of invoices, tracking payments, monitoring project-related expenses, maintaining project cost records, and assisting with budget reporting where required.
- Organise meetings, manage calendars and appointments, maintain filing systems and project databases, and provide general administrative support and ad-hoc assistance to management and project teams as necessary.
Key qualifications
- Diploma or Degree in Business Administration, Project Management, Construction Management, Architecture or related disciplines.
- Minimum 2 years of experience in project administration, project coordination or document control within the architecture, construction, engineering or interior design industry.
- Familiarity with authority submissions and construction project documentation processes will be advantageous.
- Strong organisational skills with the ability to manage multiple projects and deadlines simultaneously.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
- Experience with document management systems and project collaboration platforms is preferred.
- Detail-oriented with strong follow-through and problem-solving abilities.
