Administrative Executive

We are seeking a skilled and reliable Administrative Executive to provide administrative and personal support to our team and ensure the smooth operation of our business. The Virtual Assistant will work remotely and assist in managing various tasks and responsibilities, enabling our team to focus on core activities. The ideal candidate will have excellent organizational and communication skills, a proactive mindset, and the ability to work independently.

Responsibilities:

1) Provide administrative support

  • Manage calendars, schedule appointments, and coordinate meetings.

  • Arrange travel bookings, accommodation, and transportation when required.

  • Handle email correspondence, draft, and proofread documents, and prepare reports as needed.

  • Maintain and update contact lists and databases.

2) Conduct research and data analysis

  • Gather information and perform research on various topics as directed.

  • Compile and summarize data for reports, presentations, or projects.

  • Analyse data and present findings in a clear and concise manner.

3) HR & TA

  • Assist in sourcing, recruitment, and onboarding processes.

  • Maintain employee records and update HR databases with relevant information.

  • Help prepare and distribute HR-related documents, such as employment contracts and offer letters.

  • Assist in coordinating employee training programs and tracking attendance/ completion.

4) Office management support

  • Collaborate with team members to ensure project timelines and deliverables are met.

  • Help organize project-related documents, files, and resources.

  • Track project progress and update relevant stakeholders as necessary.

5) Support communication and collaboration

  • Coordinate internal and external communication, including phone calls, emails, and video conferences.

  • Foster effective teamwork by maintaining communication channels and facilitating information sharing.

6) Perform general administrative tasks

  • Handle basic accounting tasks, such as invoicing and expense tracking.

  • Assist with file organization, document management, and data entry.

  • Manage and prioritize incoming requests, inquiries, and tasks.

Your Profile:

  • Proven experience as a Virtual Assistant or relevant administrative role.

  • Proficient in using productivity tools such as MS Office (Word, Excel, PowerPoint) and Google Suite.

  • Strong organizational and time management skills.

  • A people person with excellent verbal and written communication skills.

  • Ability to multitask, prioritize tasks, and work efficiently under minimal supervision.

  • High attention to detail and accuracy.

  • Strong problem-solving and critical-thinking abilities.

  • Discretion and confidentiality in handling sensitive information.

  • Familiarity with project management tools and collaboration platforms is a plus.
